how to make a powerpoint presentation?

Table of Contents

PowerPoint presentations help demonstrate and provide information. They allow for visual learning and make it easier to absorb the presented materials. For this reason, many use PowerPoint presentations in their work or studies. However, creating a good presentation is not easy especially if you had no experience with doing so before.

First, you will need to choose topics that can be illustrated using PowerPoint slides. These may include your career goals, the topic of your research paper or dissertation, educational history or resume, etc. You should pick the one that matters the most to you at present so that you can express them well during your presentation. Think of how you want to convey your message and determine the best method on how it would be shown effectively through slides that contain words and images. Be creative in developing the slides but make sure that they are relevant to your presentation’s intended topic.

what is a PowerPoint presentation?

A PowerPoint presentation is a slide show consisting of a series of images, each of which is displayed for a fixed amount of time before transitioning to the next.

PowerPoint is a presentation program from the Microsoft Office suite. It was initially available as a standalone application in 1990, known as Presenter. In addition to being created by Microsoft, PowerPoint has been released in various forms for use on Macintosh computers and online at their web-based service called Office Online (formerly known as “Office Web Apps”).

Introduction to different parts of PowerPoint

Introduction to different parts of PowerPoint

First, let’s look at the toolbar features and options in the menu. If you learn the features of these tools, you can easily use them and quickly find any feature you need.

Toolbar

The toolbar menu can be found in many Microsoft software such as Word, Excel, and PowerPoint.

This bar contains a set of tabs that you can switch between. Each of these tabs has a unique set of tools with different functions. When you change the tabs on the toolbar, you will see new buttons and options.

Here are tabs in the toolbar:

File: Save, Share, and Export your PowerPoint presentation.

Home: A complete set of tools that you use in PowerPoint.

Insert: A versatile tool for adding any type of content you can think of, such as tables, photos, charts, videos, etc.

Design: Includes a complete overview of the theme settings and writing style of your presentation.

Transition: Add animation when you change slides.

Animations: Insert or exit the control of any command and method into the slide.

Slide Show: This shows the control of how you present your presentation when sharing it with an audience.

Now that you have learned about the toolbar, let’s take a look at important tabs:

Home tab

This tab is used to select common and popular tools in PowerPoint. When we work with PowerPoint, we usually use the Home tab more than others, because it has all the tools you need. Its functions include adding a new slide, changing text and paragraph settings, etc.

Insert tab

When you are adding content to a slide, the Insert tab has every possible tool for adding new content to the slide.

View tab

PowerPoint has a variety of views that show different ways to work with your content. You can change the view of any content in your various presentations. From the View tab, you can use different ways to edit and create your PowerPoint presentation.

Design tab

An attractive presentation can grab the audience’s attention. We use themes and styles in PowerPoint to add visualization to the show, and the Design tab controls these settings.

In the Design tab, you can click on one of the themes to display, or you can select a thumbnail and try the themes on it.

How to make a PowerPoint presentation step by step?

How to make a PowerPoint presentation step by step?

Step-1-Open PowerPoint

You will see a blank page with two boxes in the middle, one of which tells you to click to add a title (“click to add title”) And another allows you to add subtitles (“click to add subtitle”).

Step2-Add slides

Consider slides as individual units that you can fill with any content about your presentation. To insert a new slide, go to the Home tab in the PowerPoint toolbar. Then, click on the New Slide option to add a new slide, this will open a menu with a variety of different slide types to choose from.

Each of the thumbnails you see in the left sidebar shows a slide. There is no practical limit to the number of slides in your PowerPoint file.

Step3-Add content to the slides

The next step is to add content to the slides. You can do this by typing text into the text boxes, adding images, or creating charts and diagrams. To format the text or images, select them and use the formatting tools that appear at the top of the screen.

  • Make text edits: Another way is by typing directly on the slide itself using the text box tool found in the Home tab of your PowerPoint toolbar. There are two ways you can change font attributes such as its color, size, style, etc. The first option is through the “text editing” tab on the toolbar. The second option is by using the toolbar’s “Home” tab with font selectors directly next to each text box.
  • Add an image, shape, and more: You can add any type of content to your slides. You can paste pictures or clip art, insert tables, charts, videos, and other rich media files into slides. To do so, simply select the slide you want to fill with content. If it’s a shape or picture you are inserting( for instance), head over to the Insert tab on the toolbar. From there choose the shape or image that you want to insert into your PowerPoint presentation.

Step 4: Choose a theme and writing style

After creating and adding content to your presentation, it’s time to add a visual style to attract the audience. To do this, go to the Design tab and click on one of the thumbnails to select the theme.

Depending on your audience, you might want to choose a different template for your presentation.

Tips to make a PowerPoint presentation

The following are some general rules to follow when creating a PowerPoint presentation:

  • Make sure that your content is relevant to your audience.
  • Be concise and organized in your content.
  • Use visual aids to help explain your points.
  • Make sure that your slides are visually appealing.
  • Test your slideshow on different devices before presenting it live.
  • Use transitions to keep your audience engaged.

Tools for presenting a PowerPoint

In addition to the design and content that are important in presenting a PowerPoint, other tools are very important in presenting a speech. In the following, we will introduce these tools in PowerPoint that any user can use.

Speaker notes

Try not to write notes or keep printouts. Speaker notes are a great way to add everything you need to your slide show. The best way to add speaker notes to each slide is to use the Normal view. Click on Notes in the presentation section and type notes for each slide. this is enabled in PowerPoint and you no longer need printed cards as you may lose them.

Presenter View

Another feature that should be used in your PowerPoint presentation is the “Presenter View”, which is suitable for displaying two screens. While your audience will see the PowerPoint you created on the projector or LCD screen, you will have your private view with speaker notes, future slides, and more. Activate the Presenter View display via the “Slide Show” tab by clicking on Use Presenter View.

Spelling and Grammar

Spelling and Grammar Check

Other main points that you should pay attention to in presenting your PowerPoint are the spelling and grammar of the content. There is nothing worse than losing a key type before you present. To avoid this problem, before introducing yourself, it is a great help to execute spelling and check grammar through spelling and grammar check. To check spelling and grammar issues, go to the “Review” tab in the PowerPoint toolbar and click on “Spelling”. PowerPoint examines the most common cases and allows you to correct them.

Conclusion

PowerPoint is one of the most popular software with millions of people using it across the world. PowerPoint offers many easy-to-use tools and features and allows users to create great-looking presentations quickly and easily. PowerPoint can compress much information into few slides as possible, and this will help people not to be confused by too much information on one slide, so it is necessary for everyone to know how to make a PowerPoint presentation.
